Personalised delivery notes: the essential tool for your business

Used to certify the arrival of goods at their destination, delivery notes are very important as they are proof that a commercial exchange has been finalised, and therefore have an important legal value. They may also be requested at the time of invoicing as they specify the contents of the delivery and the date on which it arrived, so it is essential to have them available at all times.

In the event of a dispute between the seller and the buyer, it is the signed delivery note that brings the dispute to a close, thus certifying that the buyer has received the goods he has purchased. For this reason, it is important that the delivery note is designed to contain all the essential information such as the addresses of the senders and recipients, the dates corresponding to the stages of the delivery, details of the products delivered, etc.

Given by the company to its customer at the time of receipt of the goods, the delivery note can be personalised with a unique design, making it a communication medium that will convey a professional image of your company and differentiate you from the competition. By personalising your delivery note, you can also ensure that your customer always has your contact details to hand, making it easier for them to place a new order.

How carbonless paper works

The delivery note pads we offer are made of carbonless paper so that you can distribute duplicates of all your delivery notes to the relevant parties: customer, accounting, archives, etc. But how does carbonless paper, which we also use for printing order forms or invoices, work?

Carbonless paper is a conventional, fairly thin paper that is coated with a chemical substance that reacts to pressure. So when you write with a pencil or biros on the first sheet of the delivery note, the pressure exerted on the paper will reproduce the same annotations on the second, third and possibly fourth sheet.

This type of paper is widely used for writing purchase orders and delivery notes, as these are documents that almost always need to be printed in several copies to be distributed to all parties involved (seller, buyer, etc.). Using carbonless paper therefore saves time and avoids having to write the same document several times.

The different formats and papers available for the delivery note

Delivery note pads or bundles can be printed in colour or black and white, in portrait or landscape format. You can choose the size of the sheets between :

  • A4 format (21 x 29.7 cm)
  • The A5 format (14.8 x 21 cm)

Available for orders of at least 25 copies (ideal for restocking), the order pads can contain two, three or four sheets to allow you to have the desired number of duplicates. For ease of reference, each carbonless sheet is printed on a different colour paper and follows the following pattern:

  • For a 2-sheet voucher: the first sheet is white, the second is yellow.
  • For a 3-sheet voucher: the first is white, the second is green and the third is yellow.
  • For a voucher of 4 sheets: the first is white, the second is green, the third is pink and the last is yellow.

The carbonless paper is a 60 g paper, thin enough to allow the pressure to be perfectly applied to the following sheets and thus obtain a clean and perfectly readable result. In order to avoid transcribing from one bundle to another, a grey cardboard insert with a weight of 500 g is added to the block and can be easily slipped between two bundles.

The cover of the pad, which can be 100% customised, is made up of a semi-cardboard sheet with a weight of 180 g, which protects the pad. It is also a communication surface not to be neglected to convey your graphic identity and your values. On the back, a sheet of 350 g cardboard paper also stiffens the pad and provides excellent writing comfort right up to the last page.

Binding and finishing options

For ease of use, each delivery note is presented in the form of a bundle consisting of several sheets. The bundles are then bound together using the glued square back technique to form a carbonless block of 25, 50 or 100 bundles. Binding can be done in two ways:

  • French style, i.e. the gluing will be done on the short side.
  • Italian style, in which case the binding will be on the long side.

Generally, the delivery note is presented in portrait format so that it can be easily handled and the items delivered can be presented in list form, but you can opt for a landscape orientation if this seems more appropriate or practical.

To make your sheets easier to file once removed from the pad, we offer a perforation option. With this option, an A5 order form will have two holes, while an A4 order form will have four holes. This way, you can quickly and easily store each order form in a dedicated binder.

Finally, we suggest that you make sure that you can archive each delivery note quickly using thenumbering option. By default, the numbering will start at 001, but we can also make it start at the number of your choice. To do this, you only need to tell us the number when you place your order.

Frequently asked questions about the delivery note

What legal information must be included?

Before printing a delivery note, it is essential to ensure that it meets all the standards set by French legislation. Just like other commercial documents such as quotes or invoices, the order form must contain a certain number of legal mentions, such as

  • The RCS number and the place of registration of the company
  • Theaddress of its registered office
  • The name and legal form of the company
  • The amount of its share capital

In addition to these legal mentions, a delivery note must include various mentions such as :

  • The addresses of the recipient and the sender and their contact details
  • The order number
  • The date of purchase and the date of delivery
  • Full description of the goods delivered (name, number, etc.)

Finally, consider adding a space for the signature and any comments from the customer (anomalies, damaged item, etc.).

How can you ensure that you get a clear and legible delivery note?

To ensure that all the information on your delivery note is perfectly legible for you and your customers, we advise you to create a simple and airy visual using simple fonts, neither too small nor too large. If in doubt, the best thing to do is to order a proof copy, which will allow you to compare the results obtained with different layouts or different fonts.

To avoid the elements that make up your visual being distorted or displaced, it is strongly recommended that you vectorise the fonts and send us your file in PDF format. In any case, each file sent for printing is systematically checked free of charge by our advisors who will contact you if there is any concern.
